What it does

The document maker in Matching Sox Business builds one line item per document: a description, quantity and price each. You then add a discount amount, a shipping amount and a tax amount, record any amount already paid, and the preview shows the subtotal, total and remaining balance. Pick a currency (US, Canadian, euro or British pound), set a status such as Draft, Sent, Accepted, Unpaid, Partially paid, Paid or Void, and choose the Basic template, your own saved business profile, or the Yard Socket LLC sample. For an invoice the preview reads “BILL TO” and shows a due date. When it looks right you can Download PDF, use Print / Save PDF, Save Image, or Share / Photos on a phone. Save document locally keeps it in this browser so you can edit or duplicate it later. The downloaded PDF is a clean text layout; your logo and signature image appear in the print and image versions.

How to use it

Open the invoice generator. The document type is already set to Invoice.
Pick a template, or choose Make It Yours to save your business name, address, phone, email, website, brand color, logo and signature once.
Enter the invoice number, date, due date and currency.
Add the customer, their address, and the product or service with quantity and price each.
Fill in discount, shipping and tax as amounts, plus any amount already paid, payment method and sales representative.
Download the PDF or print it, then save it locally so it appears in Saved records.

Worked example

A landscaper bills 12 hours of labor at $45.00 an hour. The subtotal is 12 × $45.00 = $540.00. They give a $40.00 discount, add $25.00 for disposal as shipping, and charge 7.25% sales tax on the $500.00 after the discount, which the sales tax calculator puts at $36.25. The invoice total is $540.00 − $40.00 + $25.00 + $36.25 = $561.25. The customer already paid a $200.00 deposit, so the balance due is $361.25.

Tips

Tax on the invoice is an amount, not a rate. Use the sales tax calculator first if you only know the percentage.
Set the status to Partially paid when a deposit has been received, and Paid when the balance is zero.
Use Duplicate to start next month’s invoice for the same customer, then give it a new number before saving.
Download a backup from Saved records before clearing your browser or changing devices.
