What it does

The document maker in Matching Sox Business builds one line item per document: a description, quantity and price each. You then add a discount amount, a shipping amount and a tax amount, record any amount already paid, and the preview shows the subtotal, total and remaining balance. Pick a currency (US, Canadian, euro or British pound), set a status such as Draft, Sent, Accepted, Unpaid, Partially paid, Paid or Void, and choose the Basic template, your own saved business profile, or the Yard Socket LLC sample. For a quote the date field prints as “Expires”, so the customer knows how long your price stands. When it looks right you can Download PDF, use Print / Save PDF, Save Image, or Share / Photos on a phone. Save document locally keeps it in this browser so you can edit or duplicate it later. The downloaded PDF is a clean text layout; your logo and signature image appear in the print and image versions.

Quotes work well for jobs priced once per project, such as installations, design work, repairs or catering, where the customer wants a firm number before booking you.

How to use it

  1. Open the quote maker. The document type is already set to Quote.
  2. Choose a template or your saved business profile.
  3. Enter a quote number, today’s date and the expiration date.
  4. Add the customer and describe the work with a quantity and price each.
  5. Add any discount, shipping and tax amounts and check the total in the preview.
  6. Download the PDF or print it, set the status to Sent, and save it locally.

Worked example

A web designer quotes 3 website pages at $1,250.00 each. The subtotal is 3 × $1,250.00 = $3,750.00. A $250.00 new-client discount brings the quote to $3,500.00, with no shipping or tax. The quote expires in 30 days. When the client accepts, change the status to Accepted; to bill them, open the saved quote, switch the type to Invoice, give it a new number and save.

Tips

Frequently asked questions

What is the difference between a quote and an invoice?

A quote is an offer with a price and expiration date. An invoice asks for payment after the sale.

Can I turn a quote into an invoice?

Yes. Open the saved quote, change the type to Invoice and save it with a new number.

Do quotes expire?

You choose the expiration date and it prints on the quote.

Is a quote legally binding?

That depends on your location and terms. Matching Sox provides templates, not legal advice.

Where are my quotes stored?

Only in this browser on this device, under Saved records.
